Privacy Policy
This policy explains what personal data the Akademi Catur Syazrin app collects, why, who it is shared with, and the choices you have. Akademi Catur Syazrin ("the academy", "we") is responsible for your data. The app is developed and operated for the academy by BestWeb Technologies Sdn Bhd. We handle personal data in line with Malaysia's Personal Data Protection Act 2010.
What we collect
- Your parent account: your name, mobile number, email address, password (stored only as a one-way hash), and the address, district and state you give us.
- Your children: each child's name, IC number, date of birth, gender and school, plus any medical or other notes you choose to add. IC numbers are stored encrypted and shown masked, and every staff view of a full IC number is logged.
- Academy activity: class bookings and attendance, tournament entries, game results and chess ratings, and shop orders.
- Payments: online payments go through toyyibPay. We never see or store your card number or online-banking login; we keep the amount, reference and status of each payment. If you pay by bank transfer, we keep the slip you upload.
- Your device: a push-notification token and your device's platform (iOS or Android), so we can send you booking and payment notifications.
- Security logs: IP addresses of requests, used to prevent abuse such as repeated login attempts.
We do not collect your location, contacts or photos. We do not use advertising or analytics trackers, we do not track you across other apps or websites, and we never sell personal data.
Why we use it
- To run your account and verify your email address or mobile number.
- To book classes and tournaments, take payment, and issue receipts.
- To keep the club's ratings, results and attendance records.
- To send you notifications and messages about bookings, payments and academy news.
- To keep the service secure and to meet our legal and accounting obligations.
Who we share it with
Only the service providers we need to run the app, and only what each one needs:
- toyyibPay: to process online payments.
- Google Firebase Cloud Messaging: to deliver push notifications.
- Our email provider: to send verification codes and account emails.
- Our hosting provider: which stores the app's data on our behalf.
Tournament organisers receive the entry list for events you enter: each child's name and age category, and the guardian contact you gave for the day. We may also disclose data where the law requires us to.
Children
The app is used by parents and guardians. Children's details are provided by their parent or guardian to enrol them in classes and tournaments. Academy staff can only see what they need for their role, and the app shows children by initials rather than photos.
How long we keep it
- Your account details are kept while your account is open.
- Payment and order records are kept for seven years to meet Malaysian accounting and tax requirements, without your name or contact details attached once you delete your account.
- Children's club records (ratings, results and attendance) are part of the academy's records and are kept after an account is deleted. You can ask us to erase them.
Deleting your account
You can delete your account at any time in the app: Profile → Delete account. Your name, mobile number, email address and address are erased immediately, you are signed out on every device, and push notifications stop. You can remove a child first from that child's own screen in the app, or email us to have a child's records removed.
Your rights
You can see and correct your details in the app at any time. You can also ask us for a copy of the personal data we hold about you or your children, ask us to correct or delete it, or withdraw your consent, by emailing us. We will reply within 21 days.
Security
Data is sent over encrypted connections (HTTPS). Passwords are hashed, IC numbers are encrypted, and access by academy staff is limited by role and logged.
Changes to this policy
If we change this policy we will update the date at the top of this page, and tell you in the app if the change is significant.
